Software Development Cost: How Quotes Are Calculated

How much does it cost to build an app? How developers estimate software cost, main cost drivers, fixed price vs time and materials, and ways to spend less.

“How much does it cost to build an app?” is the first question almost everyone asks, and the honest answer is “it depends”. That answer is only frustrating when nobody explains what it depends on. Software cost is not mysterious. It follows from a handful of decisions you can understand, influence and often reduce.

This article explains how a software development company turns an idea into an estimate, which factors move the number most, and how to get a quote you can actually rely on.

How software development cost is estimated

Almost every estimate, whatever form it takes, comes down to the same formula:

cost ≈ effort (team time) + third-party and running costs

Effort is the big part. To estimate it, a team breaks your idea into pieces it can reason about:

  1. Features: sign-up, profiles, search, checkout, notifications, reports.
  2. Screens and flows for each platform: web, Android, iOS, admin panel.
  3. Integrations with outside systems: payment providers, accounting software, maps, AI models.
  4. Non-functional work: security, performance, backups, monitoring, deployment.
  5. Testing, project coordination and a risk buffer for the unknowns.

Each piece gets an effort range. Unknowns widen the range, and the discovery call exists to shrink it. The narrower the scope description, the narrower the quote.

The main cost drivers

Some decisions change the estimate far more than others. These are the ones to look at first.

Cost driver Keeps cost down Pushes cost up
Platforms One platform, or one cross-platform code base Separate native apps plus web
Features A focused first version Everything on day one
User roles One or two roles Many roles with fine-grained permissions
Integrations Well-documented APIs Legacy systems, banks, hardware
Real-time behaviour Normal request/response Live updates, multiplayer, chat
Design Proven UI patterns Fully custom animation and illustration
Languages One or two Many, including right-to-left scripts
Data A fresh start Migration from an old system
Compliance Standard good practice Payment, health or other regulated data

Integrations are often the hidden giant

A feature list can look small while hiding most of the work in integrations. Connecting to a bank’s virtual POS with 3D Secure, an e-invoicing provider or a legacy internal system involves test environments, certification steps and edge cases that never appear on a mock-up. Integrations are consistently where experience saves the most time. See our payment integration service for details.

The admin panel nobody mentions

Most products need a back office: managing users, content, orders, refunds and reports. It is frequently missing from the first brief and then appears halfway through. Mention it early, because it can be a meaningful share of the work.

Typical durations

We do not publish prices, because two projects with the same name can differ enormously. What we can share are the typical durations we see, which are a good proxy for effort:

Project type Typical duration
Company website 2–4 weeks
Lean MVP with a narrow scope A few weeks
AI prototype for a single use case 2–4 weeks
App with accounts, payments and an admin panel 2–4 months
Larger platforms, SaaS and multi-system integrations Planned in phases after discovery

Because we work in two-week cycles, these durations translate directly into a number of cycles, each ending with working software you can review.

Fixed price vs time and materials

There are two main pricing models, and each fits a different situation.

Fixed price Time and materials
How it works Agreed scope for an agreed price You pay for the time actually spent
Best when Scope is clear and stable Scope will evolve as you learn
Your risk Changes need a formal change request Total cost is less predictable
Flexibility Low High
Typical use Websites, well-defined MVPs, integrations with clear specs Ongoing product development, R&D, AI experiments

A common middle ground is to fix the price of a first milestone, such as a discovery phase or MVP, and then continue in cycles once both sides understand the product better. It gives you a predictable start without pretending to know everything in advance.

Costs that are not development

A good quote separates development effort from what you will pay to run the product. Ask about:

  • Hosting: servers, databases, storage and bandwidth.
  • App store accounts: developer programme fees for Google Play and the Apple App Store.
  • Third-party services: email, SMS, maps, payment fees, analytics.
  • AI usage: model APIs are usually billed per request or per token, so usage grows with your users.
  • Maintenance: security updates, operating system changes, new store requirements and bug fixes after launch.

None of these are reasons to avoid building. They are simply part of the real cost of owning software, and they should be visible before you commit.

How to get an accurate software quote

The quality of a quote depends on the quality of the input. Before your discovery call, prepare:

  • A one-page brief: the problem, the users, and the three to five must-have features.
  • Examples of products you like, and what you like about them.
  • A list of systems to integrate, with links to their API documentation if you have them.
  • Your deadline and its reason: a trade show, a season, a funding round.
  • A rough budget range. This is not about anchoring a price. It lets the team propose the best solution within your limits instead of guessing.

After our free discovery call of about 30 minutes, we send a free written quote with scope, assumptions and milestones.

How to reduce software development cost

You have more influence over cost than you might think.

Start with an MVP

A minimum viable product is the smallest version that proves your idea with real users. Cut every feature that does not serve that goal. You learn faster, spend less up front, and invest the rest based on evidence rather than assumptions.

Choose one code base where you can

For mobile, a cross-platform framework such as Flutter lets one team ship Android and iOS from a single code base. We have published nine apps of our own on Google Play. More on this in mobile app development.

Reuse instead of rebuild

Authentication, payments, file storage, admin templates and search are solved problems. Mature open-source frameworks and managed services cover much of the plumbing, so your budget goes into what makes your product different. If several customers will use the same product, a multi-tenant SaaS architecture is another way to build once and serve many.

Use AI-assisted development, with care

AI coding tools speed up boilerplate, tests, documentation and refactoring. We use them in our own work. They do not remove the need for experienced engineers who design the architecture, review every change and own the result, but they let that time go further.

Make decisions quickly

Waiting for feedback is invisible cost. Projects with a single decision-maker who reviews each cycle promptly move noticeably faster than projects where every choice goes through committees.

Why the cheapest quote is rarely the cheapest project

A low quote that leaves out testing, deployment or the admin panel will grow. A project rebuilt after a failed first attempt costs more than doing it properly once. When you compare offers, compare scope, assumptions and ownership terms, not just the total. And make sure you receive the source code: it is your insurance if you ever change teams.
